Rentec Direct introduces a new feature for landlords and property managers, giving you the option to customize the welcome message sent to tenants and owners, introducing them to their portal. With a custom welcome message, you can showcase your brand, company messaging, and increase adoption.
A new feature in your Rentec Direct gives you the option to send a custom email message welcoming your tenants to their Tenant Portal. The feature is also available to property managers to send a custom welcome message to their owners and clients, introducing them to the Owner Portal.
The Portal Welcome Message – Tenant Portal and Owner Portal
The tenant portal welcome message is an important email that gets sent to your renters when you give them access to their Tenant Portal. This welcome message contains your renter’s username and temporary password, granting them access to their portal for the first time.
Similarly, the owner portal welcome message gets automatically sent to a property manager’s owners when they are given access to the Owner Portal. The welcome portal message for the Owner Portal contains the system-generated access link, username, and temporary password.
New Feature – Custom Portal Message Templates
Welcoming your tenants and property owners to their Rentec Direct portal is an important first step in communicating with them through the Rentec Direct software. This new feature allows you to welcome new portal users with a customized message tailored just for you, enhancing your brand’s image and fostering a more personal connection with your tenants and owners.
With the same convenient data fields and custom messaging options available throughout Rentec Direct, you can create your own custom message templates for sending your tenants’ and/or owners’ portal login information.
Within Rentec Direct, you can use the default message templates or create your own. For tenant portal and owner portal access you can review or edit the following templates:
- Owner Login Information
- Tenant Login Information

Custom message templates make it easy to craft a message that welcomes, introduces the portal, and provides helpful information for your tenants and owners.
Once you add a message template to your account, you can automatically use these to send login information to your tenants and owners when you enable their portals.
How to Customize Your Templates
Are you ready to start personalizing your message right away, but haven’t customized the message yet?
You’re Rentec Direct developers wanted to help you get started right away and created a default template with essential information for your tenants and owners, including:
- Personalized greeting with each recipient’s name
- The Username and Temporary Password to their portal
- Links to download a user-friendly Mobile App
- A direct link to Access the Portal
Quickly Customize Your Portal Welcome Message Template
Easily customize the default portal message template with Rentec Direct’s user-friendly tools, creating a personalized introduction that reflects your brand without needing technical expertise.
In your Rentec Direct account:
- Click on Settings
- Under Program, click on one of the two NewMessage Templates
- Owner Login Information
- Tenant Login Information
- Use the toolbar to customize:
- Fonts
- Colors
- Alignment
- Insert links, graphs, and data fields
- Click on Save Changes
Note: It is highly recommended that you do not adjust the Username or Password data fields within your login templates as this may hinder your tenants’ and owners’ access to their portal. More details on data fields within these templates below.
Understanding Data Fields in Your Tenant Login Information and Owner Login Information Templates
A custom data field is a visual placeholder in a template that will automatically display custom information based on stored data from your software. Data fields are used throughout the software on templates and custom forms.
In your email templates, you can add or delete data fields as needed. In the image below you will see the data fields numbered below with a reference to the information that will be displayed in the email:
- Subject – This section will be the email subject for your message. It will also be the name of your template when you reference it in the future
- Company or Full Name – This will automatically display the receipt’s company name or full name, as it is saved in your software
- Username and Temporary Password – This will automatically display the system generated username and temporary password for their portal. You will not be able to delete this section from the login template and it’s advised you do not edit the data fields.
- Username and Temporary Password – This will automatically display the system generated username and temporary password for their portal
- Owner Portal Button – This button is a link to the Owner Portal login page
- Owner iOS App – This button is a link to the Apple app store to download the Owner Portal App (a corresponding button is displayed for the Tenant Portal in the Tenant Login Information template)
- Owner Android App – This button is a link to the Android app store to download the Owner Portal App (a corresponding button is displayed for the Tenant Portal in the Tenant Login Information template)
Note: This template customization will have the same format for the tenants and owners, but will have corresponding information for the Tenant Portal and Tenant Portal App links, respectively.
Automatically Send Your Custom Portal Message
Once you’ve customized your message template, you can easily send it to your tenants or owners. While setting up a new tenant or editing an existing tenant, you can easily automatically send the New Custom Portal Message. Here’s how you can do it:
In your Rentec Direct account:
- Click on Tenants
- Right-click on the tenant and click on Edit Tenant
- Under Tenant Portal, check the Enable box
- Under Password, click on the paper/pencil icon
- Enter a New Password or click on the circular arrow to auto-generate a password
- Check the Email Tenant box to include your custom Portal Message
- Click on Submit to save your settings
- Click on Update Tenant to save changes and automatically send your message
