Prohibit users from permanently deleting important account records with a new custom permission for Rentec Direct subuser accounts.

Rentec Direct offers unlimited subuser accounts for your employees, and with customized permission levels you can limit your team’s access to the data that is important for their tasks and role within your company.

To further enhance your account’s security, a new subuser permission will prohibit subusers from the option to permanently delete properties or tenants.

Permanently deleting properties or tenants in your account could alter your ledgers and remove historical account data, you might need to reference later. A permanent delete should only happen from the primary account holder, or someone whom you give explicit permission to perform the action. There is an option to archive properties or tenants, which does not remove historical data.

“In rare circumstances, we have heard of an ex-employee maliciously deleting account data, which can wreak havoc on the client’s account. It’s time-consuming and frustrating to reenter the deleted information,” says Nathan Miller, Rentec Direct’s president. “System security is a core value of Rentec Direct, so we are always looking for ways to protect our client’s data. While we often focus on preventing external security threats, it is also necessary to establish safeguards for preventing potential nefarious activities from within a client’s organization.”

System Default Permission – Prohibit Permanent Delete Option

By default, all subusers will not have the option to permanently delete records, including subusers who have Full access. You have the option to customize the subusers permission to “allow access to permanently delete records”, explained below.

The user permission “Allow access to permanently delete records” : This permission allows a user to permanently delete tenant and property records from the database. The default is to leave this setting off for all users. Enable this setting only for administrators and owners of the organization.

Archive vs Delete Properties and Tenants

Rentec Direct gives you the option to archive properties and tenants, allowing you to maintain historical data in your account, which is often a legal requirement by state real estate commissions. Sometimes you might want to delete a tenant or property in your account, but this function is primarily only used when testing account features. In most circumstances, you would choose to archive a property or tenant, if you are no longer managing them.

Customize Subuser Permissions

It is required that all Rentec Direct users have their own username and password, which is connected to the primary user’s account. Do not share your username and password with anyone. Rentec Direct does not charge for additional user accounts.

You can add unlimited subusers to your account under the People section of the Settings page in your Rentec Direct account. These subuser accounts can be customized with different permission levels and account access, so the subuser can only perform certain functions within the software.

To customize your subusers permissions follow the steps below.

In your Rentec Direct account:

  1. Click on Settings
  2. Under the People section, select Managers & Users
  3. Find the user whose permissions you would like to modify and click the link under the Permissions column by their name.
    • This link will say, “Custom, Limited, Financial, or Full” depending on their default permissions level.
  4. Select the features you would like to enable for the subuser
  5. Click Save

To allow a subuser to permenatly delete records follow the steps below.

In your Rentec Direct account:

  1. Click on Settings
  2. Under the People section, select Managers & Users
  3. Find the user whose permissions you would like to modify and the link under the Permissions collum by their name.
    • This link will say, “Custom, Limited, Financial, or Full” depending on their default permissions level.
  4. Under the General Permissions section, find the option to Allow access to permanently delete records and select YES.
    • Note: This permission allows a user to permanently delete tenant and property records from the database. The default is to leave this setting off for all users. Enable this setting only for administrators and owners of the organization.
  5. Click Save
