The Certified Mailing Manager is an integrated feature within Rentec Direct’s property management software that uniquely provides the tools to email, print, or physically mail bulk or individual communications, eliminating the need to print letters, stuff envelopes, or travel to the post office.
Time-saving features of Rentec Direct’s Certified Mailing Manager include:
- Create a one-and-done custom template with data fields to auto-populate each tenant’s unique information in repetitive bulk messaging
- Use the filter to select:
- All tenants whose rent is overdue
- All tenants whose leases are expiring soon
- Specific tenants by name
- Physically mail letters without leaving your office using:
- First Class Mail: This is ideal for everyday correspondence, such as routine notices or general communication with tenants and owners.
- Certified Mail: Certified Mail is available for critical time-sensitive documents, such as lease violation notices or official communications requiring proof of delivery. This option provides documentation that the mail was sent and delivered.
- Certified Mail with Electronic Return Receipt: For added security and proof of receipt, this option includes a digital signature and confirmation of delivery. It ensures a clear, electronic record of the recipient receiving the mail.

One of the enhancements implemented in Beta is a permission option allowing access to the Certified Mailing Manager to managers and users whose tasks include sending legal notices, such as:

How It Works
The Certified Mailing Manager tool is included with all Rentec Direct accounts, so you can start saving valuable time using the following steps:
In your Rentec Direct account:
- Click on Tenants
- Click on Mailing Wizard (Soon to be Mailing Manager)
- Select a Template or No Template to enter a custom message
- Use the Filter to select recipients by:
- Rent Overdue (all applicable tenants – convenient for bulk mailings)
- Days Until Lease End (all applicable tenants – convenient for bulk mailings)
- Name – Lists all tenants, allowing selection of one or multiple tenants
- Select from Email, Print, or Send Letters
- After a quick review and any needed corrections, confirm the delivery method.
