A new update from Rentec Direct will help you identify why a tenant might have missed an important email message from you by displaying a failure to deliver email notice in your message history.

One of the many useful features in your Rentec Direct account includes the in-app messaging tools that allow you to streamline communication with your tenants, owners, and vendors. If these messages do not get delivered to their intended recipient, discovering why can help improve future communication.

Tenant Emails and Messaging Features in Rentec Direct

You can send automated reminders to your tenants or create custom, one-time messages, all of which are stored in your Rentec Direct account for reference.

Tenant automated email notifications include:

  • Overdue Emails will email your tenant once per week when their account is overdue.
  • Recurring Charge Emails will email your tenant any time an automatic recurring charge is posted to their ledger, such as their rent charge.
  • Charge Emails will email your tenant any time a new manual charge is posted to their ledger.
  • Payment Emails will email your tenant upon any payment or credit posted to their account, such as an online rent payment or a rental concession.
  • Work Order Emails will email your tenant when work orders viewable by the tenant are completed.

Tenant Email Failure Notices

If the email address for your tenant is incorrect the email will not deliver and the email server generates a failure to deliver notification. Additionally, if someone marks an email as spam, any future messages sent from that email address will not get delivered to the recipient.

Rentec Direct has added the function to display these failure to deliver email notices in your property management software. This function allows you to troubleshoot what happened if a tenant says they did not receive an emailed message. The solution might be as simple as fixing a misspelled email address.

View Message History with Tenants (including failure to deliver notices)

In your Rentec Direct account:

  1. Click Tenants
  2. Right-click on the tenant’s name and click Send Message
  3. Failed email notices are displayed in red. Click on the failed email notice and see details about why the message failed to deliver.

Message History with Owners and Vendors

This feature works for all in app messaging, including tenants, owners, and vendors.

In your Rentec Direct account:

  1. Click Owners
  2. Right-click on the owner’s name and click Send Message
  3. Failed email notices are displayed in red. Click on the failed email notice and see details about why the message failed to deliver.

View Message History with Vendors (including failure to deliver notices)

In your Rentec Direct account:

  1. Click Settings
  2. Under People, click Vendors and Payees
  3. Right-click on the vendor’s name and click Send Message
  4. Failed email notices are displayed in red. Click on the failed email notice and see details about why the message failed to deliver.

Failure Due to Spam

If the failure to deliver notice indicates that the recipient marked an email as spam, they will not be able to receive email messages from you for 90 days. There is no way to change this timeline, you must wait 90 days until the spam label is removed and you can email that address again.
