Two great features our Rentec PRO, ASSOCIATION and PM users can take advantage of are the Tenant and Owner Portals. These online portals allow your tenants and the owners who you manage property for to log on and have a snapshot of their account. When an owner of a property logs in to their portal, they will come to a screen that will offer them 4 tabs- Summary, Properties, Statement and Settings. In the Summary Notices, they will see information on scheduled move-ins and out, lease expirations and if a unit is vacant. They are able to toggle between the 4 tabs for a clear picture of what is happening on their property without having to call you. This will save all people involved lots of time!
To access their portal, Owners will a username and password, which you will enter in under the owner information page, found in the Settings tab, under “Manage Owners.” Their username will be their email address and then either create a custom password or allow the program to do create one. Next, check the box next to PORTAL to enable their portal. Be sure to write down their password before you exit their page as the password will be encrypted after you leave the page. (If you or the owner forget the password, you can always head back in and enter a new one to over-ride the encrypted password.)
Once you have enabled the owner’s portal and given them their user name and password, you will want to direct the owner to the following address to log in: http://www.rentecdirect.com/owners/
Similarly, tenants will need to be given their username, password and their portal web address to be able to access their portal. To begin, you will need to enter their tenant file. To do so, head to the Tenant tab, right click on your tenant’s name, select edit. From here, enter in their email address, which will be their username, and then either create a custom password or allow the program to create one. Next, check the box next to PORTAL to enable the portal. Be sure to save changes. As with all passwords in the program, be sure to write down this password as it will be encrypted after you save your changes. (NOTE: If you or your tenant forget the password, you can always head back in and enter a new one to over-ride the encrypted password.)
Once you have enabled their portal, you will want to inform your tenants where they can log on to view their portal. Here is the address you will want to give them: http://www.rentecdirect.com/tenants/ From here, they will be able to view a statement showing charges and payments, as well as pay their rent through our EasyPay program or place a maintenance repair request. Maintenance repair requests will appear in your program instantly and will be noted as a wrench icon next to the property name. You can also view these repair requests under the Reports tab/Misc. Reports/Open Workorders. If you also want to be notified by email when an tenant places a work order through their portal, head to Settings/Program Defaults and choose this option.
